Employee Self-Service (ESS)  

Employee Self Service Systems (ESS) have revolutionised the HR function in large organisations that have sought to reduce the transactional burdens associated with the management or routine personnel administration functions; deliver higher quality HR services at lower cost; meet 'local needs' within a global HR platform and increase their capacity to engage in strategic initiatives. They have also come at a considerable cost, however, these costs have reduced dramatically as suppliers have increasingly focussed on offering the benefits of ESS to small and medium sized organisations without the prohibitive price tag.

OPS utilises ESS as part of its outsourced HR service provision and has implemented 12 systems in the past few years utilising web-based solutions housed on dedicated and secure servers that allow access  by users via the Internet. Implementation and running costs are low and our preferred solutions don't impact on our Clients' IT infrastructure and resources as the chosen systems are hosted and maintained by the suppliers. All users need is access to the Internet.

ESS enables us to add real value to the HR function and to deliver efficient and effective personnel administration services to Client's operating on single or multiple site locations with varying employee headcounts from 10 to 250 and the systems provided contain the following features:

  1. Comprehensive databases that simplify and streamline HR processes.
  2. Inbuilt self service capabilities that provide efficiencies in the processing of transactional activities (such as booking holidays, changing personal, next of kin and bank account details) by reducing the amount of time and effort required to 'key in' information when compared to conventional HR systems and manual records.
  3. Easy access to information with employees able to view information held by the employer such as employment terms, holiday records, contracts of employment, policies, procedures and administration forms plus the ability to request changes to the information held.
  4. Easy customisation; every client has different requirements and the systems chosen are flexible allowing  higher levels of access to different users as well as the ability to delete unnecessary data fields and change data field labels.
  5. Rapid implementation and 'roll out'; these systems can be 'up and operating' within days with no hidden development costs.
